外贸邮件的一些规范!附:外贸英文邮件常见问题!

贸邮件的重要性不用多说,所以外贸业务员能够写出一份得体、规范,又能准确传递出信息的邮件是很有必要的,称之为外贸开发基本功也不为过!下面就让我们一起来看看外贸邮件写作的规范,看看你是否存在某些纰漏吧?
一、Courtesy 礼貌
语言要有礼且谦虚,及时地回信也是礼貌的表现。
例如:
We have received with many thanks your letter of 20 May, and we take the pleasure of sending you our latest catalog. We wish to draw your attention to a special offer which we have made in it.
You will be particularly interested in a special offer on page 5 of the latest catalog enclosed, which you requested in your letter of 20 May
二、Consideration 体谅
写信时要处处从对方的角度去考虑有什么需求,而不是从自身出发,语气上更尊重对方。
例如:
“You earn 2 percent discount when you pay cash. We will send you the brochure next month. ”就比 “We allow 2 percent discount for cash payment. We won’t be able to send you the brochure this month.”
三、Completeness 完整
一封商业信函应概况了各项必需的事项,如邀请信应说明时间、地点等,确忌寄出含糊不清的信件。
四、Clarity 清楚
意思表达明确,要注意:
(一)避免用词错误:
例如:As to the steamers sailing from Hong Kong to San Francisco, we have bimonthly direct services.
此处bimonthly有歧义:可以是twice a month 或者once two month.故读信者就迷惑了,可以改写为:
1、We have two direct sailings every month from Hong Kong to San Francisco.
2、We have semimonthly direct sailing from Hong Kong to San Francisco.
3、We have a direct sailing from Hong Kong to San Francisco.
(二)注意词语所放的位置:
例如:
1、We shall be able to supply 10 cases of the item only.
2、We shall be able to supply 10 cases only of the item.
前者则有两种商品以上的含义。
(三)注意句子的结构:
例如:
1、We sent you 5 samples yesterday of the goods which you requested in your letter of May 20 by air.
2、We sent you, by air, 5 samples of the goods which you requested in your letter of May 20.
五、Conciseness 简洁
(一)避免废话连篇:
例如:
1、We wish to acknowledge receipt of your letter…可改为:We appreciate your letter…
2、Enclosed herewith please find two copies of…可改为: We enclose two copies of…
(二)避免不必要的重复:
(三)短句、单词的运用:
enclosed herewith—–>enclosed
at this time—–>now
due to the fact that—–>because
a draft in the amount of $1000—–>a draft for $1000

It is possible that you are facing difficulties of which we are not aware. If so, we would like to know what we can do to help. We, therefore, look forward to receiving from you a detailed report on the situation and suggestions as to how we may help in restoring our sales to their former level.

附:外贸英文邮件常见问题!
1、发邮件无subject主题,或者随便找一个以前的邮件直接回复一下.
后果:以前的邮件是针对以前的某一件事情,邮件正文和主题都和现在的事情无关.导致买家一头雾水,无法快速辨认.
2、邮件下方无签名(包括人名,公司名字,联系方式等)或者只有中文名字.
后果:导致买家不知道你是谁?要知道,买家会接触,联系很多国家的不同供应商,你在一段时间没有和买家联系后,突然发过去个邮件,对方很难判断你是谁?来自什么国家的什么公司?
3、邮件的发件人不要用中文.如联想公司张三,“联想公司张三”很有可能会在买家那里显示乱码,哪怕不是乱码,对方也不一定可以看懂中文.
4、买家如果已经CC,把邮件抄送给第二个人,或者抄送给2个人以上(可能是买家的同事或者主管),你回复的时候要按reply all,而不要只回复发件的那个人.买家发邮件CC的目的是希望多个人了解到目前此事的进展情况,你有义务回复全部的人.
5、回复买家邮件的时候要“reply with all history”,不要把历史记录删除,否则买家不知道先前发生的事情和交流的内容.也不要随意改变邮件的主题.一件事情,一个产品的邮件要保持一个邮件主题.
6、不要用晦涩难懂的缩写,我们不是在发电报.如hv: have等.以免产生误解.也不要用俚语.
7、重要的内容可以用bold粗体加粗或者用大写.
8、不要全部用大写字母写邮件正文.如THANK YOU FOR YOUR EMAIL DATED NOV17,20xx
